Privacy & Data Policy

Panoloop is an early-stage service. This policy describes our current practice and is reviewed as the product changes.

1. Who we are (data controller)

2. What we collect and why

  • Booking details — business name, London postcode, contact name, email and phone number. Used to arrange, confirm and deliver your shoot.
  • Payment details — handled entirely by Stripe. We never see or store your card number.
  • Photography — 360° imagery of your premises captured on the shoot day.

Legal basis: performance of a contract (or steps taken at your request before entering one) for booking and delivery; legitimate interests for keeping records of work completed.

3. Who we share it with

These processors receive booking data strictly to deliver the service:

  • Stripe — payment processing and deposit collection.
  • Google (Calendar & Street View) — scheduling your shoot and publishing approved imagery.
  • Resend — sending booking and confirmation emails.
  • Telegram — an internal instant alert containing your business name, postcode, contact name and phone number, so a new booking reaches our shoot desk immediately.
  • Vercel — website hosting and server logs.

Some of these providers process data outside the UK. Where they do, transfers rely on UK adequacy regulations or the International Data Transfer Addendum.

We do not sell your data or share it for third-party marketing.

4. How long we keep it

Booking and delivery records are kept for 6 years to meet UK accounting and tax record requirements. Operational alerts (email and Telegram) are deleted within 12 months. Panoramic imagery is retained while your tour is published, and deleted on request unless it has already been published to Google Maps, in which case removal must also be requested from Google.

5. People captured during a shoot

Shoots take place in working premises, so staff or customers may appear in frame. Faces and vehicle licence plates are blurred before anything is submitted to Google Street View. It remains the venue's responsibility to notify anyone on site that photography is taking place; we provide notice signage on request and will pause the shoot if asked.

6. Your UK GDPR rights

You have the right to access, rectify, erase, restrict or object to our processing of your personal data, and to data portability. To exercise any of these, email hello@panoloop.com and we will respond within one month.

If you are unhappy with how we handled your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

7. Cookies

We do not use advertising or analytics cookies. Your language and light/dark theme preference are stored locally in your browser and never leave your device.
